Office Manager

To safely lead, motivate and develop the site team to deliver client services on the Royal Borough of Kensington & Chelsea account. The post holder will oversee and manage staff, KPI’s, safety & SLAs to ensure services are compliant and delivered as per the client’s expectations.

To actively look for ways to work with occupiers and to provide knowledge of the buildings to all stakeholders. To assist with social awareness and encourage the use of facilities, engaging in local events to help inspire and co-ordinate occupier’s wellbeing & health through the use of the facilities internally and externally with the support of supply chain management and client portal engagement.

Maintaining a safe environment to compliance standards set out on the Mercury Model

  • Drafting and updating emergency plans and evacuations procedures
  • Overseeing security, fire prevention, and other safety systems
  • Scheduling regular building maintenance tasks.
  • Working with supply chain to provide fabric repairs as needed
  • Monitoring building maintenance budgets through Concerto software
  • Arranging for building improvements using Asset Operating Plan’s – Net Zero Carbon – Energy Data
  • Overseeing contractors and inspecting completed jobs using Safe Systems of Work.
  • Supervising grounds staff and nurturing behaviours
  • Evaluating employee performance and providing direction, correction, or additional training to ensure proper maintenance of the building
  • Resolving complaints, problems, and requests from building occupiers through clear communication and occupier meetings.
  • Undertake any other duties that may be reasonably assigned by the Line Manager and which are consistent with the postholders knowledge and skills necessary for the satisfactory completion of business needs
  • IOSH Managing Safety Certificate
  • Excellent communicator
  • Analytical skills and basic IT skills, such as Word, Excel
  • Facilities Management experience
  • Experience of managing 3rd parties and 3rd party delivered services
  • A basic understanding of Service Charge Budgets (RICS)
  • Excellent knowledge of portfolio and current platforms and systems Relevant evidence of competency for H&S Excellent report processing; both planned and reactive
  • Ability to find creative solutions to ad hoc requests Knowledge transfer; mentoring younger, less experienced team members.
  • Client focused, able to take ownership of the team and demonstrate excellent communication skills.
  • A flexible approach to effectively undertake the requirements of this role ensure budgetary objectives are adhered to.
  • Exceptional attention to detail under pressure
  • Organised, proactive and self-motivated

Working arrangements

In this role, the successful candidate would be required to work from the office at Royal Borough of Kensington & Chelsea in Kesington, 8am till 5pm Monday to Friday.
