Position Overview & Specifications

Role: People Operations Coordinator
Department: People Team
Location: London (Hybrid - 2-3 days in the office per week expected)
Reports into: Reward & OD Manager
Contract: Full-time

The People Operations Coordinator is a vital role at disguise, responsible for the coordination of People/HR administration and working closely with the rest of the People Team to maintain accurate employee (‘disguiser’) records, assist with employee queries, and aid in the continuous development and championing of HR processes and policies.

This role will also be responsible for partnering with the Global Payroll Manager on the coordination of payrolls for our teams across London and EMEA, North America and APAC.


WHAT YOU WILL DO

  • Maintain HRIS profiles and files for employees across all disguise Group entities throughout the entire employee lifecycle
  • Carry out “during employment” processes such as visa applications, maternity/paternity/adoption and other forms of leave admin, changes to terms and conditions letters etc.
  • Act as first line of contact for HR queries, managing the People Team inbox and directing or escalating queries as appropriate.
  • Manage administration of employee benefits and salary sacrifice schemes, including relationships with suppliers, and support Reward & OD Manager with renewal of benefits globally
  • Proactively track People teams outcomes and strategy using Smartsheet, and diarise and schedule meetings as directed by the Chief People Officer and VP of People
  • Power up managers by democratising employee data and optimising our HRIS through automation and clever, regular reporting to ensure it contains accurate and useful information
  • Assist with recruitment administration, including issuing contracts and new starter paperwork, and undertaking pre-employment checks i.e. references etc.
  • Ensure that ongoing compliance checks are undertaken and that the required monitoring of documentation is carried out e.g. right to work etc.
  • Support the Payroll Manager and wider finance team by collating and communicating HR/payroll data within pre-agreed deadlines for disguise payrolls across UK/AMER/APAC. Seek authorisations as appropriate
  • Ensure benefits, pension changes and other administrative pay changes are captured correctly when inputting payrolls
  • Continually review processes and procedures in place in order to ensure most efficiency, including for new disguise entities/M&A activities as applicable

ABOUT YOU

Essential

  • Proficient in using Microsoft PowerPoint, Word & Excel
  • Excellent communication skills, both written and verbal
  • Numerate, with the ability to understand and work with a basic budget and cost/spend figures etc.
  • Able to work with sensitive and confidential information
  • Proactive and able to work on own initiative to suggest and implement efficient work practices
  • Positive about change; flexible and adaptable to work effectively in our fast-paced environment
  • Lead by example, foster a kind, helpful, team-winning attitude

Desirable

  • Proficient in using Google Suite
  • Previous experience with BambooHR, PowerBI and Smartsheet
  • Previous experience working in a global organisation
  • Experience in coordinating global payrolls or understanding
