The Role

The People Data & Operations Specialist reports to the People Director and will own people data & analytics, as well as day to day operations within the team (including onboarding new starters, managing HR systems and files, processing leavers) as well as supporting key people initiatives across Distributed.


Responsibilities

  • Ownership of new starter pre/onboarding processes (including contract administration, system onboarding, meet and greet sessions), ensuring all new joiners have a comprehensive onboarding experience;
  • Completing pre-employment eligibility to work checks through Veremark, escalating to the People Partner when required;
  • Management of equipment issue/return for all new joiners, current employees and leavers;
  • Prepare and maintain employee e-files, including contracts and personal information;
  • Manage Distributed’s HRIS and people system data (e.g. Humaans, Lattice) ensuring that all systems are up to date with accurate employee data;
  • Use Company surveys, feedback tools and People processes to leverage data insights, feedback and metrics from across the employee journey, analyse trends and make informed recommendations for improvement, solutions and learning;
  • Act as first point of contact for employee inquiries regarding benefits, payroll, policies, processes, systems, employee data, and other People team related topics, escalating appropriately when required;
  • Management of the central People Operations inbox;
  • Ongoing curation and management of the People & Comms calendar, prompting people about upcoming activities that need action;
  • Supporting the Head of Remote in the management of the Company's Social calendar. Supporting the Head of Remote in social committee research, coordination, and planning with internal and external stakeholders;
  • Team invoices and purchase management (Spendesk);
  • Regular and adhoc People data and analytics reporting for Level 10 SLT meetings, monthly board packs and CI compliance reports;
  • Supporting the Finance team in the monthly production of payroll, ensuring information on new starters, leavers and team changes have been communicated and actioned in time, as well as assisting with related queries;
  • Timely completion of People-related processes using automated tracking tool (Process Street), ensuring compliance to SLAs and coming up with ideas to help drive process improvements;
  • Working closely with the wider People team on various People projects and supporting continued improvements within the employee journey to help make Distributed a leader in the remote working world;
  • Supporting the Head of Remote in the research, coordination, planning and logistics with internal and external stakeholders for in-person Company events.

Requirements


  • Strong analytical skills and attention to detail, able to understand complex problems and root causes, leveraging quantitative and qualitative data to develop insights, guide decisions, and formulate solutions;
  • An interest in gaining more HR and People experience to develop their career further. Previous experience in a People/HR role is advantageous although not essential; experience in Admin, Office Manager, Exec Assistant or similar roles will be considered;
  • A confident contributor, skilled with appraising + optimising processes within a People function, as well as proactively identifying and raising potential improvements;
  • Experience of working in a Start-Up environment is highly desirable.
  • Experience of working within remote teams is highly desirable.
