Position Overview & Specifications

PA and Team Secretary (One Year Maternity Contract) – Marylebone – £32,000 to £34,000 Dependant on Experience

My client, a leading global Real Estate firm, are currently seeking an experienced PA and Team Secretary on a one-year maternity contract to support the International Residential Director and wider Residential Development Sales team. The role is based in their stunning offices in Marylebone.

You will be responsible for providing PA duties to the director, organising extensive travel arrangements alongside supporting the wider team of around 7 ranging from Sales Consultants to Senior Directors with some based internationally. This is an excellent opportunity to join an expanding division with the opportunity for progression within a globally prestigious firm. There is a strong liklihood of securing a permanent role at the end of the 1 year maternity cover contract.

In a fast paced and friendly team, you will have good business acumen, have a highly motivated mind-set with strong communication skills, be responsible in managing you own workload, acting with autonomy and using your own initiative.

Key Responsibilities:

  • Providing full secretarial support to the Director and administrative support to the wider team
  • Inbox and diary management for the Director
  • Extensive travel booking for the whole team to include accommodation, flights and taxis
  • Applying for International Visas
  • Undertaking compliance for the team
  • Processing invoices, credit card payments and deposit releases
  • Reporting international deals
  • Updating and formatting master schedules and spreadsheets
  • Ensuring our internal sharing platform is updated with the latest documents
  • Close liaison with overseas offices
  • Full coordination of international visits and events
  • Updating and maintaining Outlook & Dynamics contacts
  • Handling telephone calls, taking messages and covering phones
  • Filing, printing and binding
  • Attending sales and launch events
  • Management of CRM data and the completion of expense claims
  • Building relationships and maintaining a high level of professionalism when dealing with clients, applicants and colleagues
  • Providing holiday cover for other support staff within the division
  • Provide assistance to team members and the department wherever possible
  • Develop and maintain active communication both within your team and other teams
  • Progress business development initiatives
  • Arranging client events and occasionally attend events
  • Provide ad-hoc support to the UK China desk

Skills Required:

  • 2 years’ experience with diary management and inbox management
  • Advanced organisational skills
  • Ability to work under pressure
  • Intermediate Advanced Microsoft Office knowledge
  • Fast and accurate typing
  • Excellent communicator and telephone manner
  • Excellent time management skills and attention to detail
  • Good team player but also able to work on their own and use their own initiative

Salary: £32,000 to £34,000 Dependant on Experience
Hours: Monday to Friday 9am to 5:30pm Office Based
