Position Overview & Specifications

We are looking to recruit a Patient Information Co-ordinator, who is highly motivated, enthusiastic and hardworking with excellent administrative skills. As part of the Patient Experience Team, you will be responsible for co-ordinating the production of high-quality patient information leaflets across the Trust, ensuring that the Trust’s requirements for the consultation and approval of patient information are met and that leaflets are up to date.

The successful applicant will have strong written and verbal communication and interpersonal skills with the ability to communicate effectively with staff at all levels. You will have excellent attention to detail and be able to use your own judgement, be flexible in your approach with good time management skills.

Excellent IT literacy, particularly Microsoft applications is also essential for this role.
  • Responsible for ensuring all written patient information complies with the correct Trust protocol.
  • Providing advice and support to staff about the process of producing patient information leaflets.
  • Maintaining a register of Trust patient information leaflets.
  • Liaising with the Trust's Patient Reader Group.
  • Providing reports and updates in relation to patient information leaflets.
  • Reviewing the policy and procedure for the production of patient information leaflets.
Established in 2003 East Lancashire Hospitals NHS Trust (ELHT) is a large integrated health care organisation providing high quality acute secondary healthcare for the people of East Lancashire and Blackburn with Darwen.

  • Responsible for ensuring all written patient information complies with the correct protocol as per the Trust Policy & Procedure for the production of patient information to ensure that all leaflets are produced to a consistently high standard.
  • To ensure that all leaflets conform to the standardised format as set down in the Trust Policy & Procedure for the production of patient information; challenging staff and returning any leaflets to the author if it does not adhere to the policy.
  • To work with the Communications Team to ensure that leaflet templates are up to date and readily available on the SharePoint / Trust Intranet to promote the creation of high quality documents and a good corporate image.
  • To provide advice and support for staff Trust wide about the process of producing patient information leaflets, acting as a point of contact for all patient information leaflets within East Lancashire Hospitals NHS Trust. This will involve dealing with queries from all staff groups via the telephone, email and face to face, providing information, directing and prioritising queries as appropriate, to ensure efficiency and effectiveness of service delivery.
  • To ensure that the author adheres to the process for recording the risks, benefits, alternatives as laid down in the Trust Policy & Procedure for the production of patient information.
  • Liaising with the Trust’s Patient Reader Group to arrange for new documents to be reviewed from a patient perspective.
  • Support the maintenance and membership of the Trust’s Patient Reader Group.
  • Provide feedback to the responsible authors on the format and content of leaflets as per Trust Policy & Procedure for the production of patient information, and feedback from the Reader Group.
  • Ensure all leaflets have been approved at an appropriate Divisional / Directorate meeting/committee.
  • To undertake a final validity check to ensure they meet the required standards in relation to design and content and they comply with the corporate identity for ELHT.
  • To register existing and new leaflets allocating a unique ID number.
  • To develop and maintain a Leaflet Library ensuring patient information leaflets are uploaded in a timely manner after approval and ensuring any out of date documents are removed and archived.
  • To ensure the storage of a Master Copy of each leaflet on the Governance L Drive.
  • Maintaining and monitoring patient information records (spreadsheet, SharePoint and Trust website) and ensuring they are regularly updated, working with Divisions, Directorates and leaflet authors to ensure leaflets are reviewed and updated in a timely manner.
  • Work with the Communications Team to ensure promotion and raising awareness across the Trust of patient information processes and procedures.
  • Review the Trust’s Policy & Procedure for the Production of Patient Information and advising the Senior Patient Experience Facilitator of any required changes or updates.
  • Produce reports and provide regular updates and summaries to Divisions and the Senior Patient Experience Facilitator in relation to patient information, in particular with regard to leaflets that are due for review / overdue.
  • To undertake an annual audit to assess compliance with the process relating to leaflets.
  • To support the Patient Experience Team in the planning & delivery of training to staff as required.
  • To support the Patient Experience Team in its community engagement activities, communicating and collaborating with external stakeholders and organisations and patient representative groups.
  • Supporting the administration and management of the Trust’s Public Participation Panel and Children and Young People’s Panel. Attending the aforementioned panels and liaising with the PPP Chair or their deputy in relation to PPP activities.
  • The postholder will be expected to work semi-independently using their own initiative in terms of the production of patient information leaflets.
  • Provide ad hoc administration support to the Senior Patient Experience Facilitator and Patient Experience Facilitator in relation to patient information or other work.
  • Actively participate in personal development.
