Position Overview & Specifications

Experienced School Admissions Administrator to start in August/September 23

Job Description

Reports to: Head of School

Pay range : £35,000 -£45,000 dependent upon experience Non contributory pension scheme 14.1%

Liaising with: Headteacher, Senior Leadership Team, Governors, Staff, Visitors,

Prospective parents, Parents/Carers and external agencies such as Local Authorities and Educational Psychologists

Purpose of the Job

Support the Headteacher, Staff and Governors to ensure that prospective parents and pupils are offered a seamless service on their journey to becoming part of Fairley House School.

Key Functions

· To manage the Admissions and Assessment process for prospective pupils

· To maintain our pupil database and management information

· To liaise with the Bursar in regard to pupil numbers and school fees

· Assist with the provision of information for meetings

· To be the first point of contact for new parents

· Be committed to the safeguarding of pupils

Specific Responsibilities

Be the face of the School and ensure a welcoming, professional reception to all children, parents, carers, staff and visitors

· Manage all queries from various sources, in person, in writing, e-mailing or by telephone to ensure that precise information is given

· Maintain pupil records on computer (PASS) to ensure up to date information is being held by the school and that sensitive information is secure and confidential

· To ensure that The Bursar is informed of all leavers and joiners.

Admissions

· Manage the Admissions process, collating paperwork, including arranging visits and assessments, school viewings and meetings for prospective parents

· Deal with all queries from parents and local authorities regarding admissions

· Liaise with EPs, SENCos, and therapists in relation to assessments

· Send out assessment reports, offer letters and contracts

· Record the parental acceptance/refusal

· Prepare records for CENSUS returns and Management information

· Deal with any enquiries for appeal and support the school process

· Collate information and arrange the preparation (and update) of welcome packs for the new intake

· Liaise with parents and John Lewis in regard to school uniform

· To advise prospective parents on school transport

Additional Responsibilities

Individuals in this role may also undertake some or all of the following

· Arrange and co-ordinate appointments and meetings on behalf of other senior members of staff in relation to the admissions process.

· To be part of the senior administration team helping to ensure the smooth running of the school

Person Specification

Educated to degree level or equivalent - with a high standard of English grammar skills

Experience of working in a School, College or Nursery or similar environment

Some knowledge of Special Educational Needs in education.

Experience of working as an administrator in a school or similar

Able to maintain confidentiality

Excellent interpersonal and communication skills [written and spoken]

Experience of using Outlook and office 365 and Teams

Strong IT skills - able to produce and edit documents

Excellent attention to detail and accuracy

School database skills

Capable of working on own initiative, experience of prioritising own workload in a busy environment, able to work under pressure

A “can do” attitude with some flexibility of hours during busy periods

Experience of drafting correspondence and school literature

Empathetic to the needs of parents and pupils

Good sense of humour

Salary: £38,000.00-£50,000.00 per year
