Position Overview & Specifications

Description


Working alongside our Administration team and reporting day-to-day to the Office Services Manager, you will be responsible for supporting the reception and front of house teams in providing a first-class customer experience when visiting our offices. You will also have your own day-to-day tasks whilst also supporting our legal departments as and when required.
Key tasks include meeting and greeting guests and visitors at our head offices, scanning client documents, showing clients to and from meeting rooms, providing refreshments for our visitors, processing, scanning and filing internal & external post, file closing on behalf of fee-earning departments as well as reception & switchboard cover where required.
The role is full time, based at out Derby head offices working 08:45 to 17:30 Monday to Friday.


Key Responsibilities


  • Meeting our clients in the main reception area and showing visitors to their designated meeting room or client holding area.
  • Providing refreshments to our clients during their visit.
  • Ensuring meeting rooms are cleared promptly after meetings with all used crockery cleaned and tidied away.
  • Scanning and filing on all client documents whilst the clients are onsite.
  • Distribution of all received client paperwork to the relevant fee earner and department.
  • Sorting and distributing external and internal post, scanning to the client file, and notifying the fee-earning departments.
  • Photocopying documents for fee-earning departments, this requires attention to detail and time management.
  • Answer internal telephone calls for the administration team.
  • Order and manage stationery, refreshments and cleaning products where required.
  • Receive deliveries and distribute to the appropriate individual.
  • Assist our fee-earning department with tasks where required, this includes opening & closing files, filing and scanning.
  • Provide cover for reception where required.
  • Provide cover for the switchboard operator where required, ensuring all calls are answered and re-directed to the relevant fee-earning department promptly.


Skills, Knowledge and Expertise


You will:
  • Have excellent administrative experience.
  • Ideally have customer service or hospitality experience, and thrive on providing an excellent customer experience.
  • Preferably have previous experience in a front of house role.
  • Have excellent time management skills and the ability to work to tight deadlines with your caseloads.
