We are excited to launch our search for an experienced organisational whizz to join the FI Team as a maternity cover Executive Assistant to three senior members of our organisation. This is a critical role which will give the right individual a unique opportunity to develop a great insight into a purpose driven organisation through an exciting period of growth.

Specific support required includes:

EA to three Directors

  • > Support our Chief Executive, Senior Director and Chief Impact Officer (CIO); manage their busy diaries and travel schedule, responding to changes at short notice and prioritising based on organisational needs and requirements of our partner organisations.
  • > Support them in preparing for the short and long term demands on their time, by always being a step ahead and considering what they need to do their job to the best of their ability.
  • > Communicate with multiple external partner organisations and contacts, who are often high profile and senior, as a considerate, helpful and conscientious voice of the FI.
  • > Collaborate with colleagues across the Forward Institute to help drive communication, efficiencies, and ensure maximum productivity
  • > Research External Meeting attendees prior to meetings and provide detailed and accurate written or verbal briefs to the directors.

Leadership Team, Board and all Team Events

  • > Co-ordinate, organise and carefully consider the ongoing rhythm of meetings across the Forward Institute, including those for Board, the Leadership Team, and the FI team.
  • > Support the Chief Executive to run the Leadership Team in a meaningful and considered way.
  • > Prepare and edit correspondence and documentation for Board and Leadership Team meetings, including drafting agendas, compiling papers, documenting actions and minutes after meetings.
  • > Track actions and initiatives that the Directors are responsible for and follow up on actions on their behalf.
  • > Coordination and strategic planning of our team days and annual team retreat, including considering content and working with a facilitator.

Operations support

  • > Work to keep information up to date on Salesforce where relevant with our Salesforce Manager.
  • > Manage expenses on Xero and all other general administrative support for the Directors.
  • > Line management of Office Manager and PA to the (other) Directors.

Salary: £40- 50k

Type: It is envisaged this will be a full-time, fixed term (10-12 months) role Start date: To start at the beginning of May.

LOCATION

  • We’re based by Chancery Lane, within easy walking distance of a number of over and underground stations. We expect the team to split their work between the office, our partner organisations and home.
