Position Overview & Specifications

The opportunity

Project: A financial services organisation.

To provide support and advice to account operational team and the wider business in all areas of health, safety, quality and environment, ensuring professional and proactive management of property and facilities support services. With line management responsibility of a small front of house team.

Providing an efficient and effective facilities management service to the contract whilst ensuring professional and proactive management of property and facilities support services.

Your responsibilities will include:

  • Assisting with the implementation of Mace QHSE policies, procedures, required within the account. Supporting with account QHSE compliance registers.

  • Aiding with audits and manage records, files and systems to comply with ISO 45001, 14001 and 9001. Accepting risk assessments.

  • Assisting in the approval of RAMS of supply chain for any potential works.

  • Assisting with account annual audits and inspection. Scheduling, undertaking and providing support for operational audits.

  • Supporting DSE assessments on Cardinus system ensuring all starters and leavers are updated and all high priority actions are dealt with promptly.

  • Coordinating QHSE meetings and produce minutes as required.

  • Assisting with monthly QHSE reports - client and Mace.

  • Evaluating results of reporting, audits, corrective actions and operational reports.

  • Coordinating account communication on system updates, legislation changes and/or other business updates.

  • Communicating and supporting account QHSE KPIs, objectives and targets.

  • Identifying and communicating areas of improvement and best practice.

  • Supporting Mace account on the close out of any corrective actions.

  • Supporting incident investigations, ensuring all associated paperwork is completed on time, prepare alerts and action findings.

  • Highlighting any risks that may damage Mace or client’s reputation or financial standing and suggest mitigating actions.

  • Liaising and communicating with Mace teams, site teams, supply chain and service partners.

  • Supporting the Mace QHSE department to provide more effective analysis of data to enable continual improvement.

  • Providing line management to a small team of front of house staff.

  • Managing the review and upkeep of local operating procedures.

  • Contributing to the contract management of all applicable facilities services.

  • Customer satisfaction is to be maintained at the highest level by providing a high quality and pro-active service.

  • Providing daily management interface between facilities and the customer to ensure Service Level Agreements are met.

  • Becoming a recognised figure head for the facilities operation and integrate with by building strong customer relationships.

  • Ensuring that any customer concerns are dealt with effectively and communicated accordingly.

  • Providing professional, operational management of the entire supply chain and service delivery.

  • Carrying out weekly site audits and monthly health and safety Inspection, documenting and dealing with all issues raised.

  • Coordinating the delivery of small project works, including moves management and churn.

About you

You are qualified to NEBOSH. You have previous experience in a similar role. Environmental management qualification is an advantage. You have an excellent computer skill including Microsoft Office suite.

You are digitally savvy, can build lasting client relationships. You will have a facilities management background and be hungry to grow your career and enjoy the opportunities Mace has to offer.
