Position Overview & Specifications

The opportunity

This role is a new combined role working for our client at financial services supporting both the porterage and post function along with front of house reception cover. This is a shared role between two departments offering a wide arrange of responsibilities in a fantastic working environment where a one team ethos is the centre of everything we do.

Your responsibilities will include:

  • Providing a customer focused service and building positive client and colleague relationships.

  • Establishing and maintaining good working relationships with Mace and the client’s financial services personnel.

  • Paying good attention to detail to ensure image and standards are maintained.

  • Sharing site, client and project knowledge with members of the FM team.

  • Paying attention to detail and ownership of the processes relating to areas of responsibility.

  • Continually supporting and promoting a team working approach within Mace and the supply partner team.

Reception:

  • Meeting and greeting staff and visitors to the buildings.

  • Acting as an information source for general enquiries from staff and visitors.

  • Being the face of the company for all visitors, to follow a consistent approach at all times and be proactive in dealing with ad hoc client requests which are outside the normal scope of service.

  • Assisting in collating data for monthly reports and KPI figures.

  • Performing any other ad hoc duties commensurate with position and salary range.

Porter/Postroom:

  • Supporting the client’s financial services events.

  • Assisting with any porterage requirements, including minor office moves.

  • Setting up meeting rooms.

  • Ensuring all printing areas have sufficient stock such as paper and envelopes.

  • Collecting, sorting and delivering internal and external mail correctly and on time to and from different departments.

  • Ensuring that post is correctly sorted.

  • Ensuring that all mail is sorted in line with deadlines and service levels.

  • Sorting, packing and franking mail for collection as requested.

  • Arranging mail to be sent, recorded or special delivery where necessary ensuring the correct procedures are followed.

  • Ensuring that all deliveries collections to departments are carried out in a timely manner and in a professional and customer focused manner.

  • Undertaking any other appropriate duties commensurate with the size and function of the role.

You are digitally savvy, can build lasting client relationships and provide support to strong, motivated construction teams. You have excellent communication skills both written and oral. You are fluent in English. You have previous experience in a similar role. You have strong commitment to delivering exemplary customer service. You are able to challenge the process to identify new ways of doing things. You have a strong ability to build rapport and strong working relationships to encourage a supportive working environment. You able to adapt to different priorities quickly and to adopt a positive and proactive approach to the delivery of areas of responsibility.

You have experience handling difficult customers. You have experience working in a team environment taking on the spirit of working as one team. You are able to work accurately with attention to detail and ownership of own work. You have excellent communication skills. You have a positive approach and willingness to assist others to achieve overall objectives. You are willing to make suggestions for process improvement.
