Position Overview & Specifications
Customer Service Administrator
- Full time (37.5 hours), Mon – Fri 09:00 – 17:00.
- Part time may be considered, 4 days minimum.
- Permanent (6-month probation)
- Salary: £22 - £25k for full time, dependent on skills & experience.
- Location: Office bases at G12 and G32 (Glasgow) for initial training but expectation for home working once established.

We are looking for a caring and compassionate customer service administrator who is highly motivated and has the skills to help us become exceptionally well-organised, focused, and efficient. You will often be the first point of contact new customers have with our business so you will need to be able to communicate clearly in a calm and supportive manner. You will probably have some existing healthcare knowledge but if not, be able to demonstrate a willingness and ability to learn quickly. Excellent IT skills are essential for this post. You must be competent in Microsoft Office applications and be able to quickly learn how to use our practice management software system (Jane App). You may have knowledge of similar software (CRMs) that would make this easier. You will work together with, and under the guidance of, the Practice Manager.
Roles and Responsibilities:
- Provide excellent front line customer service when dealing with enquiries over email, phone and social media.
- Improve the customer experience from initial enquiry, assessment and treatment, through to discharge and recall.
- Provide high quality administration support, including word processing to format reports and using excel to record information.
- Organise meetings; prepare agendas; record minutes and book venues for events.
- Assist with management of director and physiotherapists’ diaries.
- Assist implementation marketing strategy using social media, online reviews, and our website.
- Other ad-hoc administrative jobs and projects as directed by the Practice Manager.
Who we’re looking for:
Skills/Attributes
- Organised and able to prioritise and manage your workload.
- Excellent communication skills including a clear, calm and supportive telephone manner.
- Caring and compassionate nature with an interest in health.
- Proficient in IT and Microsoft software and able to quickly navigate around new IT systems.
- Understand the importance of having a good background understanding of medical conditions, physiotherapy, community services, and healthcare.
- Experience in using social media for business.
- Adaptable and enjoy being involved in improving services.
- Able to work independently.
- Basic understanding of consent, data protection and confidentiality.
Experience
- Previous experience in an administrator/customer service role.
Education/Qualifications
- Administration/IT skills/ICDL qualification.
- Willingness to undertake further training.
