It's a busy and exciting time for the brand and we’re on the hunt for a Sample Co-Ordinator to join our growing Global Partnerships team.

The Team

Our Global Partnerships team are responsible for managing the relationship with our Third-Party partners including ASOS and Zalando, ensuring we are maximising sales and our brand to represented consistently. This means the Global Partnerships Product and Merchandising teams work very closely with the Partners as well as New Look’s core Buying and Merchandising teams. We also manage all Product and Merchandising for our Franchise Partners who trade our brand and product in countries around the World.

The Role:

To provide support to the wholesale and marketplace team in all areas of administration including partner Order and Sample Management. To coordinate and manage partner samples and images, putting the partner requirements at the centre of the product offer.

Planning

• Strategy awareness at Partner and Department Level
• Awareness of Brand Vision
• Managing daily /weekly tasks in line with Ways Of Working (WOW)
• Supporting the wholesale and marketplace team with data entry into the sample management tool.
• Awareness of New Look and Partner trading calendars
• Being aware of partner orders and planning time accordingly

Wholesale

• Managing cancellation tracker for Partners and providing replacements
• Ensure any product amendments and cancellations from orders placed are communicated efficiently and clearly to all parties internally & partners externally and proactively seeks alternative through the replacement process
• Amending systems to be up to date with all changed and cancellations
• Checking commitment tracker back to partner selection sheets to ensure accuracy
• Dealing with issues arising with samples both internally and externally
• Maintaining relevant sample comments in Sales orders in the relevant system
• Assisting the team with partner slippage management when impacted by sample process
• Takes responsibility to ensure sheets are accurate before sending to partners
• Maintain good core, supplier and partner relationships
• Attend BMD team meetings where appropriate and feeds back to wider team

Sample Management

• Processing samples received and sending to partners in a timely and organized manner
• Labeling, logging, organising and filing samples, maintaining sample tracker
• Liaising with BMD teams to ensure speed and accuracy in sample sending
• Ensuring production samples are received in time to pre shoot for online sales
• Maintaining the latest imagery of samples in relevant system for all wholesale and marketplace partners
• Organize partner marketing sample requests and process to partner

Trading

• Basic understanding of trade reports
• Basic understanding of trade decisions
• Attending Group Trade meetings

Product Awareness

• An understanding of the New Look Customer
• Basic understanding of our Customer Insight and Market Share
• Actively contributing in partner competitor analysis, making recommendations for changes or developments
• Ongoing familiarity of the competition’s product range
• Completing and reporting back on NL and partner online visits and competitor shops

About You:

• An understanding of fashion trends and knowledge of the high street

• Previous experience working in Fashion / Retail and / or as an Admin Assistant
• Fashion Qualification / Other degree desirable
