Position Overview & Specifications

We are seeking an enthusiastic and outstanding individual to join our existing team on the Gastroenterology 7F Ward at the John Radcliffe Hospital, as a full-time Ward Clerk.

The purpose of this post will be to provide effective and efficient administrative support to the clinical team and the patients that this Unit treats on a daily basis. Excellent communication skills, the ability to be highly organised and prioritise a busy workload will be key to being successful in this role.

To work as part of the multidisciplinary team to support effective clinical care by providing efficient administrative, clerical and receptionist services within the acute adult ward.

To proactively take a lead in developing the ward, identifying areas for improvement and working with the Ward Sister and Patient Access Manager to develop and implement these.

To be friendly, helpful and polite towards all patients ensuring that a high standard of patient experience is delivered at all times.

RESPONSIBILITIES

Patient Support
1. Welcome patients, relatives and visitors to the ward with a supportive attitude and excellent communication skills. Direct them to ward bedrooms ensuring that security, health and safety and infection control measures are understood and adhered to.
2. Answer ward telephone calls taking/relaying messages for multidisciplinary team members.
3. Provide information concerning the condition of patients to relatives as directed by nursing staff.
4. Admit, discharge and transfer patients on EPR. Check patient address and GP address, making any changes to EPR as appropriate.
5. Obtain notes and track these on EPR.
6. Prints/replenishes patient identification labels and wrist bands.
7. File and scan all relevant paperwork regarding the admission into EPR, ensuring notes are well maintained.
8. Check if buff notes on the ward are correct and tracked.
9. Check EPR and maintain patients updated and consultants names according with the cover for that week.
10. Deal with patients on a daily basis, solving problems and directing queires to the relevant individuals.
11. Ensure reception/clerical staff base and waiting areas are maintained in a presentable manner (cleaning of PC’s, telephones, desk).
12. Liaise closely with the clinical coders to ensure all coding of discharged patients is carried out.
13. Arrange ambulance transport for patients being discharged or routinely transferred to another hospital.
14. Arrange interpreter services.

General
1. Photocopying of documents.
2. Distribute staff and patient mail.
3. Monitor Ward stationary levels.
4. Generate stock and non stock orders as directed by nursing staff using the NepCloud/Oracle system.
5. Report faults to Estates and Heath Information and Technology help desks.
6. Deposit and collection of patient belongings to/from the Hospital Cashier in line with Ward protocol.
7. Enter ward audit data into systems as required .
8. Assist with induction and mentoring of new or rotating staff ensuring they are familiar with ward procedures.
9. May be required to attend daily ‘ward huddle’ with ward clinical staff for information purposes.
10. Promote and display NHS England core values of care and compassion, dignity and respect, openness, honesty and responsibility and quality and teamwork in the discharge of duties
