Purpose

As the Accounts Assistant you will be responsible to manage account records and process transactions ensuring compliance with policies and procedures. You will provide a high standard of service in key financial accounting operational functions including accounts payable, accounts receivable and cash management.

You will manage your workload effectively meeting multiple deadlines and responding to queries in a timely fashion.


Core Responsibilities

To produce and dispatch customer invoices and credit notes on the accounting system

To identify, post and allocate customer receipts promptly and accurately to the relevant accounts

To carry out control account reconciliations as required

To ensure customers pay all invoices within agreed timescales and take appropriate action when payment is not received

To resolve queries promptly and to escalate them to the relevant person where appropriate.

To run and distribute rent statements to managers

To complete the posting of income to Ledgers

To prepare and distribute the daily cash report

To review and post the credit card returns submitted to ensure compliance with the Credit Card and Expenses policies

To review and process the petty cash and cheque returns on a weekly basis.

To support with the processing of purchase invoices and set up of new supplier accounts as requested.

To conduct monthly desktop audit checks of the original returns and report any areas of concern to the line manager

To carry out relevant month end procedures in line with departmental timescales

To assist with financial training of managers and administrators as required

To carry out on-site internal audits as directed, report on finding and to support the actions identified in the report

To manage the finance team mailboxes allocated – organising, handling, and responding to emails as appropriate

To meet allocated monthly KPI’

To resolve queries with internal and external stakeholders.

To undertake any other tasks as reasonably requested


Skills/Knowledge


Proven general accounting experience (AR/AP, cash, bank).

Knowledge of double entry book keeping.

Must be computer literate and have experience of Agresso Business World and an extensive knowledge of Microsoft Packages with an advanced understanding of Microsoft Excel spreadsheets including the use of advanced Excel functions.

Ability to develop, establish and maintain positive relationships with staff, customers and others

Good time management.

Good communication and organisation skill.

Ability to develop, establish and maintain positive relationships with staff, customers and others.

Keen attention to detail with a methodical approach. Well organised, task orientated and able to co-ordinate a range of activities. Able to prioritise and deliver to tight timescales.

Friendly and personable but confident to asks questions, challenge and seek clarification when required.

Able to work on own initiative in a pro-active matter.

A member of or willing to study towards a relevant accounting qualification such as AAT or ACCA.
