In this exciting role that reports into our Head of Flight Crew, you'll be operating at varying levels to create and maintain a flawless connection with Flight Operations teams, including Fleet, Training and Flight Crew Managers and partners such as the People Team, external recruitment providers, income protection/loss of licence providers and the VACC. You'll be responsible for recruitment administration (including interviewing and new-joiner on-boarding), administration of long-term sickness, ad-hoc support to pilots and the Management team.


Day to day

Some of your key responsibilities as an Executive within our Flight Crew team will be:
  • Recruitment support – Liaising with external recruitment partner and other teams to schedule interviews whilst also supporting new hires with welcome days and various onboarding activities
  • Support interview logistics, requesting contracts and administration tasks
  • Administration of short term and long term sick absence recording / monitoring
  • In partnership with the relevant manager, liaise with Loss of Licence and Income Protection providers to progress individual case activity and where vital, collate data for payroll team if salary reductions are required
  • Handle routine ad-hoc email / phone contact from pilots on behalf of flight crew managers as well as providing support.
  • Liaise with People team on pilot contract change requests
  • Support managers in union (VACC) engagement, including note taking and contributing during meetings on areas of own responsibility
  • Coordinate recognition schemes such as Red Moments.
  • Maintain key documentation such as pilot seniority list and procedures manual
  • You will also be required to support the wider flight operations team with the scheduling of meetings/1-1's, note taking and planning large scale events and calls.


About you

Are you passionate about analysing and interpreting information, whilst working in a fast paced environment?
In addition to the above, we’d love for our successful candidate to demonstrate the following:
  • Aa solid understanding of the challenges of working with a remote, operational workforce
  • Experience of working within a fast paced and changing environment.
  • Ability to work under pressure, prioritising, and balancing several tasks at any one time.
  • A good understanding of how to analyse and interpret information is required. Practical knowledge of the VAA Operations Manuals, Agreements, and Pilot Procedures Manual is desirable but can be developed.
  • Experience or knowledge of Flight Operations would be advantageous
  • Experience of recruitment activity
  • Experience of sickness absence administration
  • Customer centric with proven stakeholder management - Adaptable in dealing with both external and internal contacts
  • High levels of diplomacy and tact - able to adapt communication style to expertly deliver messages whilst showing resilience
  • Working autonomously, having confidence in own decision making
  • Excellent attention to detail as will be drafting and updating documentation that will be shared with unions / wider partners
